    Peru 2025 Midterm Board Meeting & Benefactor Excursion



    The International Palm Society warmly invites its Board of Directors and Benefactors to an unforgettable journey through northern Peru in conjunction with the 2025 Midterm Board Meeting. This private, 8-day expedition blends biodiversity, cultural heritage, and camaraderie—all set in one of the most botanically rich regions of the world.


    Dates: September 13–21, 2025
    Arrival: Iquitos (IQT) 

    Departure: Chachapoyas (CHH)

    Cost: $1,995 per person (double occupancy)


    Trip Highlights:

    Our base for the first 3 days is the comfortable Ceiba Tops Lodge located near the confluence of the Amazon, Nanay, and Itaya rivers, and we will experience a mix of igapo (floodplain) and terre firme (upland non-flooding) forest types. 

    • IPS Board of Directors Meeting on September 14 at Ceiba Tops

    • 2.5 hr boat trip to the Napo-Sucusari Biological Reserve to hike the palm rich forest floor and take in the tree top views from the extensive canopy walkway.

      We fly to Taropoto to explore the unique transition zone between the Amazon rainforest and the Andean highlands


    • Moyobamba (San Martín Region): ~860 meters (2,820 ft) elevation. Situated in the upper Amazon Basin, where the eastern slopes of the Andes begin to descend into the lowland rainforest.

    • Chachapoyas (Amazonas Region): ~2,335 meters (7,660 ft) elevation. Located in the cloud forest zone of the eastern Andes, known for steep mountain terrain and dramatic valleys.

    • Excursions to the highlands to see rare palms like Ceroxylon peruvianum and Dyctiocarium lamarckianum

    • Guided visits to KuelapGocta Falls, and Bosque de Ocol or conservation activity at Milpuj Reserve, including tree planting




    Travel Notes:

    • Please arrive in Iquitos (IQT) by 1:30 PM on September 13. The group will transfer together to the dock and board the riverboat to the lodge.

    • Airfare from Iquitos to Tarapoto is included in the program

    • Final departure is from Chachapoyas (CHH) on September 21

    • Due to limited room availability, no single supplement is available; we will help coordinate roommates if needed

    Cancellation Policy: Due to the remote nature of the itinerary, we are unable to offer cancellations or refunds of registration fees. The IPS is required to contract with the vendors and provide significant non-refundable deposits to secure accommodations and vendors providing services for the trip.

    Travel Insurance: The International Palm Society strongly recommends that all attendees purchase travel and medical evacuation insurance. While we make every effort to ensure a seamless trip, certain situations beyond our control could potentially result in unanticipated setbacks such as delays, cancellations, medical emergencies, or lost possessions.

    This event is intended for IPS members who are coming from out of town and provides transportation and access to all activities throughout the weekend.  You must have an IPS paid membership to register for this event.

    • Seafood Buffet Opening Banquet & Presentation by Jason Dewees, author of DESIGNING WITH PALMS.  Special introduction by Dr. Scott Zona, botanist and author of  A GARDENER'S GUIDE TO BOTANY: THE BIOLOGY BEHIND THE PLANTS YOU LOVE, HOW THEY GROW, AND WHAT THEY NEED.  A book signing by both authors will follow the presentation.
    • South Padre Island Birding, Nature Center & Alligator Sanctuary guided tour 
    • Joint PSST and IPS Meeting at the Gladys Porter Zoo. The meeting will feature a special video presentation by Outdoor Reporter Richard Moore who has spent a lifetime documenting the natural wonders found around South Texas and Northern Mexico.  PSST members will guide a tour of the zoo, highlighting the society’s unique palm plantings integrated throughout the animal habitats and landscaped grounds.  An award winning South Texas BBQ lunch will be provided.
    • Private tour of two neighboring gardens and Happy Hour courtesy of Dr. Romeo Montalvo
    • Sabal Palm Sanctuary expert-guided tour and time to explore the Sabal palm forest, bird blinds, and historical buildings.   We will learn about the history of the Rio Grande River and 1892 Rabb Plantation House in a presentation by Larry Lof, CEO of the Gorgas Science Foundation and professor emeritus at the University of Texas-Brownsville.  Larry is a local historian, historical restoration specialist, and PSST member.   An authentic, made from scratch, Mexican lunch is included.
    • $100.00 Donation to IPS to help fund its conservation and research grants, Palms journal publication, and Palm Talk online community forum.

    Notes:

    • Hotel accommodation not included.  Attendees must make their own reservations.  A link for the discount will be provided in the confirmation email sent after registration is completed.
    • Getting There:

      Airfare is not included.

      Two airports serve the Brownsville area. Valley International Airport (HRL) in Harlingen has more service but is farther from San Padre Island, while Brownsville Airport (BRO) has more limited service but is closer to San Padre Island.  Transportation from/to the airport is not included in the package, however, as a courtesy, the biennial bus will leave the Sabal Palm Sanctuary at 3:00 pm and drop people off at Valley International Airport Sunday, December 14 (45 min drive).

    An IPS paid membership is required to register for this event.  PSST members who do not have an IPS paid membership will be invited to join the IPS as part of the registration.  PSST membership will be checked on site at individual events.

    PSST and IPS Joint Meeting - Gladys Porter Zoo

    Saturday, December 13, 2025  at 11:00 am


    This joint meeting between the Palm Society of South Texas and the International Palm Society is a fun way to celebrate our common passion for palms and learn what makes each society unique.  



    This meeting is FREE with an option to purchase a BBQ lunch for  PSST members and all IPS members, including those at the free membership level - but you must register, no entry without registration.  This event is in conjunction with the Rio Grande Valley Weekend Biennial and not open to the public, membership will be confirmed at the Zoo.

    Highlights:

    A special video presentation by Outdoor Reporter Richard Moore who has spent a lifetime documenting the natural wonders found around South Texas and Northern Mexico.  

    PSST members will offer a botanical tour of the zoo, highlighting the society’s unique palm plantings integrated throughout the animal habitats and landscaped grounds.  

    IPS board members will formally honor PSST for its years of palm conservation work at the zoo and Sabal Palm Sanctuary

    About the Biennial (Vietnam):


    Join us for the 2026 IPS Biennial in Vietnam, led by renowned palm experts Dr. Andrew Henderson and Dr. Nguyễn Quốc Dựng, authors of Palms of Vietnam, a seminal work that is a culmination of 13 collecting expeditions into Vietnam over the last two decades. We will visit many of the areas where they did their fieldwork and endeavor to see for ourselves the surprising palm diversity hidden in the forests of Vietnam.

    This eight day trip will explore the northern and central parts of Vietnam, a fascinating part of the country with a variety of palm habitats with a great diversity of palms. We will visit several national parks including Cuc Phuong, Vu Quang, Phong Nha-Kẻ Bàng, and Bach Ma. We will travel in comfortable motor coaches and enjoy staying at beautiful, top-quality hotels, including Sofitel Legend Hanoi,  Emeralda Ninh BinhMelia Ha Tinh,  Melia Quang BinhAzerai, and Hotel Royal Hoi An.

    Evening lectures will be given by Dr. Andrew Henderson, Dr. William Baker, and Dr. Nguyễn Quốc Dựng.

    Attendees have the option to extend their trip and visit the spectacular palm rich forests of Southern Thailand in our post-tour (details below).

    About the Optional Post-Tour (Southern Thailand):


    The journey doesn’t end in Vietnam! From March 3-9, 2026, we will travel to Southern Thailand with celebrated botanist Anders Barfod and guided by Thailand's most knowledgeable local guide and palm expert Poonsak Vatcharakorn. We will explore the beautiful Khao Sok National Park, visit the spectacular Cheow Lan Lake area, and access palms in places only the experts in the field know about. We will end the trip in Phuket, the “Jewel of the Andaman Sea” and view the magnificent Kerriodoxa elegans in habitat. The trip will be the perfect mix of botanical adventure and comfort as we will be staying in some of Thailand’s most instagram worthy hotels, including PanvareeSofitel Krabi, and The Slate. We’ll wrap it all up with a special farewell dinner.

    CANCELLATION POLICY

    We understand that plans can change. However, due to the nature of international group travel and the commitments made in advance, the following cancellation charges will apply once the rooming list has been received:

    • Cancellations made before 01 September, 2025 will not incur any cancellation charges 
    • Cancellations made after 01 September, 2025 but before 01 January 2026 will incur a fee of 60% of trip costs. 
    • Cancellations made after 01 January, 2026 will incur a fee of 100% of trip costs.  

    Cancellations must be submitted in writing. Refunds, if applicable, will be processed according to the above schedule, however any credit card fees incurred for the transaction will be withheld (typically 3-3.5%).  We recommend purchasing travel insurance  to protect against unforeseen circumstances.
